Reduce Paper Jams with Proper Paper

THE HIGH COST OF LOW COST PAPER

There are many types of paper in the market place that you can choose from.  Does buying the cheapest paper actually save you money in the long run?  Many times cheaper quality (and cost) paper will cause more jams, more downtime, waste more paper and more employee labor than you save as compared to higher quality paper.

Every machine is designed with different factors in mind.  These factors will influence what type of paper you can effectively use in your Konica Minolta machine.  Konica Minolta publishes paper guides for each model with a list of tested brands that have been proven to work properly in your equipment.

OTHER HELPFUL TIPS

• DO NOT cut your own paper.  It leaves burrs that cause jams and many times is not cut to the exact intended size.

• Ensure that your paper grain direction is going in the proper direction.  This can make a huge difference in decreasing jams as well as the paper breaking while folding.

• DO NOT store your paper in an open package as this makes it far more susceptible to moisture and the elements.  It can also get dusty as well as folded or bent.  In addition, when you are getting paper that is curling when it exits the machine in most cases it is caused by damp paper or paper not made to run in your machine.

• Make sure you have selected the proper paper weight settings for the thickness of your paper on your machine.  This is a very common reason for jams that we find when servicing copiers.

• Make sure that you are not running too heavy of paper that is outside the specs of your particular machine.

• If you must feed thick paper or thin paper, use the paper path the has the least amount of turns.  Many times this will be the bypass tray or the manual paper tray on the right side of the machine.

So save yourself some money and time and purchase quality approved paper for you Konica Minolta Copier.

Scan to Dropbox or Google Drive from your Bizhub

There are a number of ways to scan to Dropbox or Google drive from your bizhub.  We will cover 2 of them in this article.  Once this is set-up you can walk up to your bizhub, press 1 button, and scan to your Dropbox or Google Drive cloud folder.

Method #1

1.  Download the Google Drive or DropBox desktop application to your computer.

2.  Once you have your Google Drive or DropBox folder on your desktop of your PC or Mac, make sure it is a shared folder on your network.

3.  Follow the simple instructions to set-up scanning to folder from your bizhub.

4.  Ensure you select the DropBox or Google Drive as the folder that you want to scan to.

5.  Once set-up anything you scan to this folder will automatically be sync’d to your cloud account for either service.

Method #2

Method #2 requires the use of  Dispatcher Phoenix (Konica Minolta Software)

1.  Install Dispatcher Phoenix on your company server.

2.  Use the customer workflow designer to create a document processing service to scan and convert to word.  In addition, this will allow you directly connect to a DropBox or Google Drive account.

3.  This software is, in many cases, the same cost as the upgraded kits in Method #1.  However with this there are MANY more options that you receive with a ton of document workflows that you can customize.

Scanning from a bizhub to Word

Screen Shot 2015-03-20 at 1.28.38 PMTo create a searchable DOCX or XLSX file, the optional Upgrade Kit UK-204 and i-Option LK-110 are required.

Here are the steps to create a word document from a scanned document:

1.  Turn Character Recognition Setting to “On”.

2.  Set it to the desired language.

3.  Check the “Auto Rotation” box. (Select this check box to automatically perform the rotation adjustment for each page based on the direction of text data detected by OCR processing. When the rotation adjustment is disabled, if the specified original orientation does not match the text direction, text data is not recognized correctly.)

4.  Choose DOCX under File type after you exit the screen in step #3 above.

5.  You may also choose XLSX to scan in the Excel format as well.

6.  Procede to scan the document just as you would any other document by choosing the desired destination and the scanning it.

7.  Your scanned document will show up as an editable word file at your scan destination.

ESP Power Filters – Now Included

BOSS has recently partnered up with ESP, the highest quality Power filter manufacturer.  These filters are great addition that are now being sold with all Konica Minolta, Samsung and Muratec Laser printers and Copiers.  Recently ESP came to BOSS to do a live demonstration of their power filters which was quite impressive to see.  To make a long story short, anything you are buying from common retailers such as power strips, etc.  are not working or protecting your equipment.  ESP simulated both dirty power and a lightning strikes using a normal “surge protector” that you would buy at a local retailer.  These did nothing to protect the equipment and failed every time.  However, when using the new ESP SurgeX power filter no harm was caused to the devices.

esp_bossThe result of BOSS using these for your copiers and printers is less downtime because of blown circuit boards and also to ensure your electricity is properly installed in the 1st place.  BOSS is able to connect a laptop to your new surge protector from ESP and see diagnostics in order to determine if your equipment failures are from the electricity in your office or are truly a problem with the printer or copier.

BOSS Business Systems becomes a Muratec Authorized Reseller.

We are happy to announce our partnership as an authorized reseller of the Muratec product line.  Muratec offers a full line of copiers, faxes and printers and adds to our already award winning product line of Konica Minolta and Samsung.  The  launch of the new Muratec MFX-3590 brings a low cost high quality printer to the market.  This very robust printer offers a host of high end solutions often only found in much more costly devices.  Sporting a color touch screen display with easy access to scanning, copying and faxing functions the Muratec gets the job done fast.  It also comes standard with two paper trays and a bypass manual feed tray.

We have been testing this model in our own showroom in Stockton for the past 4 months and our own employees have been very impress with the reliability of this new device.  After much testing and scrutiny we decided it was a good fit for our customer base.

  • Web Based Administration:
    Many applications are moving “onto the web”. The advantages of doing this are clear: web technologies make cross-platform support easy, and the web based nature removes the need to install additional software (or access a system where the software is already installed!).PaperCut comes “out of the box” with a web based interface for administration. There is no need to configure your own web server however, because PaperCut includes its own. Modern web design techniques such as tabs, effects and transitions even make PaperCut’s web interface feel like a traditional desktop application.
  • Advanced Charging:
    In a quota-based or charged environment, one of the most important tools at the administrator’s disposal is the ability to charge different amounts for different types of documents or on different types of printers.Printers are designed for a particular task and a particular work rate. For example an inkjet color printer is ideal for photos or the occasional color page but should not be used print 1000-page black and white documents when the heavy duty laser printer is located just down the corridor.
  • MFD Embedded Software (Multi Function Copiers)
    For printing PaperCut authenticates and tracks print jobs at the server layer before they pass to the MFD. To track off-the-glass device usage such as copying usage the authentication and tracking step needs to be done on the device itself. Where possible this is accomplished using embedded software. The embedded software runs on the MFD and works with the PaperCut Server to bring the same experience offered with printing to direct device usage.
  • Paper Cut MF Reports
    Get access to the most important data in realtime – straight from your web browser, from anywhere on your network. Create reports with custom data by specifying date ranges, filtering and sorting by the data available. Great to give you different perspectives on printing usage.Create reports that will be regularly generated and emailed to members of your organization or scheduled to be saved to disk. Great for sending regular reports to managers without even needing to compile it first
  • Web Print
    Web Print is PaperCut’s unique and industry leading solution to manage the growing need for printing from laptops, wireless devices and anonymous users.
